Two Methods to Choose From
- You can add your teachers manually
- You can upload them in bulk using a .csv form
1) Add Manually
If you have a small number of teachers and aren't very confident with uploading .csv files then this is likely the best option for you.
Adding teacher accounts is really easy. Simply login to your Administrator account and go to 'Teacher Accounts', then select 'Add Teacher'. Enter their name, email address and year group and they will receive an email with their unique password and login instructions - it's very easy!
2) Upload with CSV (bulk uploading)
If you have a large number of teachers, then uploading with .csv files is likely the best option for you.
Login to your Administrator account and go to 'Teacher Accounts', then select 'Upload CSV'. There are just 3 or 4 columns required on a .csv to upload teachers to Cocoon. With this in mind, it will likely be easiest to simply create a new Google Sheet or Excel document to make your .csv. Once you have created your new document, you will:
- Copy and paste the first names of all teachers into the first column
- Repeat for the second column with surnames
- Repeat for the third column with email addresses
- [Elementary/ Primary Schools only] - in the fourth column you will insert the year group being taught by the relevant teacher (see image below)
- [All Schools] Download your document as a .csv file
- Return to Cocoon > Select 'Upload CSV' > browse to find your file > Select 'Upload'
A row on a Secondary/ High School form will look like this:
An Elementary/ Primary School form will have an additional column to represent the year group being taught by the teacher; insert EY for early years/ kindergarten; insert a single digit for other year groups - e.g. 2 for 2nd Grade/ Year 2.
If your .csv file was formatted correctly then you will receive the below result. A green 'successfully uploaded' box will appear on screen, and the teachers will appear in a list below.
f your .csv file was not formatted correctly then you will receive the below result. A red alert box will appear on screen, and some or all of the intended new teachers will be missing from the list below. If this happens, simply check your file and be sure that Column 1 just has first names; Column 2 just has surnames; column 3 just has email addresses (and there are no mistakes in the email format); Column 4 [elementary/ primary school only] - this should just have a singular digit between 1 and 6, or the letters EY.
FAQs for Adding Teachers
What about non-class based teachers?
You can pick any year group for these teachers; every course on the Cocoon dashboard has a 'View Other Difficulty Levels' option. See your template school plan or Easy-User Guide (located in Key Documents) for more information on Cocoon's difficulty levels.
Can teachers change their password?
Yes, changing your password is very easy. You can do this by pressing 'Forgot your Password?' on the login screen or logging in and changing it in the settings menu.
